Information about the processing of personal data

Data Protection Officer (DPO)

The Administrator has appointed a Data Protection Officer (DPO) who may be contacted via e-mail at: iod@adm.uw.edu.pl.

You may contact the DPO in all matters relating to your personal data processing by the University of Warsaw and the exercise of rights in relation to the processing of personal data. However, the tasks of the DPO do not include other matters, such as providing information on the activities of the Team of Coordinators for counteracting unequal treatment, discrimination, mobbing and other undesirable behaviour.

The purpose of and legal basis for data processing

Your personal data will be processed in order to perform a task carried out in the public interest as part of the proceedings conducted by the Team of Coordinators in accordance with the ordinance of the Rector of the University of Warsaw No. 26 of 15 March 2024 on the appointment of the Team of Coordinators for counteracting unequal treatment, discrimination, mobbing and other undesirable behaviour undesirable, as well as the ordinance of the Rector of the University of Warsaw No. 21 of 28 February 2024 on policies on preventing unequal treatment, discrimination, mobbing, and other undesirable behaviour at the University of Warsaw, as well as other internal regulations.

The processing of your data for this purpose is based on Art. 6 section 1 letter e GDPR [1].

Your data may also be processed for the purpose of establishing, pursuing or defending claims in judicial, administrative or other extrajudicial proceedings. Processing your data for this purpose is based on Art. 6 section 1 letter f GDPR.

Data retention period

Data provided for the purposes of the activities of the Team of Coordinators will be processed for the duration of the proceedings conducted by the Team of Coordinators, and after its completion, they will be stored for a period of 5 years.

Data recipients

Access to your personal data will be available to authorized employees and collaborators of the University of Warsaw who must process your data in connection with the activities undertaken by the Team of Coordinators.

Transfer of data outside the European Economic Area (EEA)

Your data may also be processed by our provider of the G-Suit for education service, Google (with whom we have signed an agreement entrusting the processing of personal data) in its data processing centres [2].

Rights connected with data processing

We guarantee the implementation of all your rights in accordance with the principles set out in the GDPR, i.e. the right to:

  1. to access data and to receive copies of the actual data;
  2. to correct (rectify) your personal data;
  3. to restrict processing of personal data;
  4. to erase personal data (subject to provisions of Art. 17 section 3 of the GDPR);
  5. to file a claim with the President of the Personal Data Protection Office, if you believe data processing violates the personal data protection laws.

 

 

Obligation to provide data and consequences of failure to provide data

Providing data is necessary for contact purposes and actions taken by the Team of Coordinators. Providing other data that is not necessary to use the help of the Team of Coordinators is voluntary.
